The Zoom meeting activity in the VLE has been updated to simplify the process of scheduling and managing Zoom sessions. The new Zoom meetings manager activity enables you to organise all Zoom links / recurring meetings for your study-unit in one place.
The Zoom meetings manager will also automate the availability of Zoom recording links to students via both Zoom and Panopto. If you plan to record your live lectures, the recordings will be automatically available to students within the VLE under the Cloud Recordings tab. You will no longer need to send the Zoom recording links to students after each lecture.
If you do not wish to make the recordings automatically available to students, you should schedule the meetings outside the VLE (using the Zoom Client or Google Calendar), and then share the Zoom meeting links by email or using the Announcements forum in the VLE. Please note that Zoom recordings will be kept in the Zoom Cloud for a period of 1 year from the date of recording.
To schedule Zoom meetings using the Zoom meetings manager there are two steps:
-
Add the Zoom meetings manager link in the VLE area of the study-unit or class. This needs to be done only once for each VLE area i.e. this is a one-time procedure.
-
Schedule the Zoom sessions for your study-unit.
Step-by-step instructions to schedule remote lectures using the new Zoom meetings manager [PDF] are available.
Zoom lecture recordings automatically copied to Panopto.
Starting from Tuesday 12 October 2021, any recorded Zoom lectures scheduled via the new Zoom meetings manager activity in the VLE are being automatically copied to the Panopto study-unit folder.
Once in Panopto, these lecture recordings will remain available to students for two academic years. Furthermore, you can use the features of Panopto to edit your recordings and view the learning analytics (e.g. student engagement with recordings). If you plan to edit a lecture recording, it is recommended that you use Panopto and then delete the recording from Zoom.
The copied Zoom recordings are automatically available to students within the Panopto study-unit folder. If you wish to hide the recordings from students, please refer to the Managing recordings availability [PDF] guide.
Note that: Zoom meeting recordings done until Monday 11 October were not automatically copied to Panopto. These can be manually copied by first downloading the recording from Zoom Cloud (FAQ 3) and then uploading it to Panopto [PDF].
